PRESS ACTIVITIES

  • Academic units and/or academic staff who want their news to be included on the Hacettepe University website log in to www.gazete.hacettepe.edu.tr/yonetimpaneli with their corporate e-mail username and password, follow the steps on the page in English and Turkish. they enter data in their language. The news recorded in the system is checked by the Press Officer of the Press and Public Relations Directorate in terms of language, visuals and suitability, and published. In cases where the content is incomplete or inaccurate, the request for correction is returned by the Press Responsible.
  • Administrative units that want their news to be included on the Hacettepe University website create a request by sending the news text and images to bhim@hacettepe.edu.tr. Incoming information is checked by the press officer in terms of language, visuals and suitability and published. In cases where the content is incomplete or inaccurate, the relevant unit is informed by e-mail by the press officer to correct it.
  • Academic/administrative units who want their events to be featured in the national and local written and visual media send the information text, poster, etc. information about the event to bhim@hacettepe.edu.tr via e-mail. The feature of the event, interest of the press, press agenda, before/after news etc. The situations are evaluated by the press officer and he chooses the most appropriate one from the options of a notice, bulletin or special news work. In line with the appropriate option, an invitation to the press through a statement, the sharing of the text written by himself / sent by the unit through the bulletin, or a special news is made by contacting the press member.
  • News requests submitted by members of the national/local printed and visual media by contacting the Press Officer are made by contacting the relevant unit responsible, and are followed up from the interview process to the publication of the news.
  • Press Conference requests requested by the university administration or academic units are forwarded to the Press Officer. Notifications are sent via e-mail and internet message to all written and visual press members present in the data pool of the press officer, and all follow-ups are made from the press conference to the publication of the news.
  • All news in the national, international and local written and visual media are sent daily to bhim@hacettepe.edu.tr by the university's contracted institution. Incoming press summaries are checked daily and shared with the relevant units. Incorrect news is shared with the senior management, and when necessary, the Legal Counsel is notified in writing to send a text of disclaimer.
  • Written and visual media correspondent and responsible information are updated and recorded twice a year.

 

WEB PAGE ACTIVITIES

  • All news on the university web home page are broadcast by the Press Officer through the steps specified in the Press Activities and their actuality is checked.
  • Units that want to publish an event in the Events tab on the university web homepage, arrange all the steps in the link https://activityler.hacettepe.edu.tr/tr/menu/activity_yayinlama-12 and send it to bhim@hacettepe.edu.tr. The content controlled by the web page manager is published within the relevant date range, and the content that does not comply with the criteria specified in the link is sent via e-mail to the relevant unit for correction.
  • For an event to be published, it must be submitted no later than two days before the event takes place. The criteria are that the event to be published is non-profit (free of charge), appeals to all university components, takes place in our university campuses, and is carried out by our university's academic/administrative units and/or students.
  • Teaching, Research, etc. that will be on the web home page. content update, visual update etc. of subpages. carried out by the web page administrator with the instruction of the relevant Vice-Chancellor.
  • The promotional film on the web home page of our university is shot by the staff of the Press and Public Relations Department in the available areas of the campus, and is broadcast after the production process with the approval of the relevant Vice-Chancellor. Promotional films are renewed throughout the year as new image opportunities become available.
  • The website https://universitem.hacettepe.edu.tr, which is prepared for prospective students, is kept up-to-date with information such as nutritional opportunities, dormitory opportunities, abroad opportunities, as well as academic information that candidate students may constantly need. An appointment system is given to the high schools that come for campus promotion during the year on this website. All visuals and promotional videos on the web page that may attract the attention of candidate students are designed, prepared and published by the staff of the Press and Public Relations Department.
  • The design, visual design and content research/creation processes of the web pages requested by the university administration are designed by the web page manager, submitted to the approval of the relevant Vice-Chancellor and published, and updated.

SOCIAL MEDIA ACTIVITIES

  • Management of the university's corporate social media accounts (facebook, twitter, instagram and YouTube) and in this context, taking into account the likes and shares of the followers, visual sharing, sharing of our university news/achievements, event sharing, special days and messages are shared. The time when the date and time of the shares will be most effective is planned by the social media manager.
  • The social media officer instantly follows all kinds of posts concerning our university on social media platforms. The comments made under the posts and anonymous accounts using the name of our university are instantly followed and shared with the General Secretariat when necessary.
  • The entire preparation process and publication of the videos to be broadcast on the corporate YouTube channel are carried out by the staff of the Press and Public Relations Department.
  • Academic year opening ceremony, graduation ceremonies, Uni101 Introduction to University Life Course, etc. In the process of broadcasting the rectorate events live on the corporate YouTube channel, the entire process, from camera shooting to live broadcast directorship, are carried out by the staff of the Press and Public Relations Department.
  • Sharing series to be made on corporate social media accounts (Those who press the Shutter button, Tomorrow in Hacettepe, Being from Hacettepe, Do You Know, etc.) are planned, shared and followed instantly by the social media manager.
  • The comparison of the annual statistics of corporate social media accounts with the previous year is performed by the social media manager.

 

PROMOTIONAL ACTIVITIES

  • The web page administrator updates the data for the candidate students twice a year by contacting all relevant units (Student Affairs Department, Health Culture and Sports Department, Foreign Relations Coordinatorship etc.) to update the Prospective student web page.
  • Promotional videos and visual designs for university promotion preference days are designed and prepared by the Directorate of Press and Public Relations and distributed for publication by all units.
  • The Directorate of Press and Public Relations plans the whole process from the representation of all units in the promotion area at the University Promotion Days, from inviting the candidate students to welcoming them, and maintains communication with the relevant units for its implementation. It carries out the reporting and archiving of the registration page prepared by the IT Department and sharing it with the relevant Vice Rector.
  • For high schools that want to visit the campuses during the year, make appointments from the Candidate student web page https://universitem.hacettepe.edu.tr/randevu-secim/, get confirmation of upcoming appointments, and part-time peer guides for prospective students. The processes of carrying out promotional tours accompanied by the press and public relations are carried out by the Directorate of Press and Public Relations. It is aimed to increase the effectiveness of the promotion by providing the Peer Guides with updated information about our university (minor/double major opportunities, Erasmus opportunities, dormitory/food, etc. on campus life information, etc.) every year. The number of schools and students coming for promotion is archived each year and compared with the previous year. The information of the schools whose promotional tour appointments are planned is processed into the system, which can also be seen by the Protection and Security Directorate, and instant information sharing is made with the relevant unit.
  • It carries out the whole process in order to plan the participation of the requested faculties/departments and to carry out the promotion accompanied by peer guides during the promotion days organized in the province of Ankara by the high schools that prefer our university with a high ranking. The requesting institution for the relevant activity is requested to apply to the General Secretariat of our university with an official letter. Promotion activities are carried out with the approval of the General Secretariat.

 

COMMUNICATION ACTIVITIES

  • In order for the academic/administrative staff and students of our university to obtain information, all events and announcements are carried out by the Communications List Manager of the Press and Public Relations Directorate over the relevant communication list.
  • Announcement request is sent by the relevant academic/administrative unit to bhim@hacettepe.edu.tr, specifying the text of the announcement and the mail group to be announced. The incoming request is checked and edited in terms of written language, and shared with the relevant mail group over the area addressed (academic, administrative, student, general, announcement, beytepeakd).
  • In order to reduce the mail load, no visual attachment is used in the announcements, and the link with the image is shared. Announcements are shared with the list that will be effective, not the requested list, in order to reduce the mail traffic of the list members, and the same announcement is not repeated. The announcement must be requested via the corporate e-mail address.
  • Communication lists are internal communication lists, and communication lists are updated by the Information Technologies Department in case of personnel leaving the institution, graduate students, newly registered students.
  • All events published on the website events page are announced through the relevant communication channel 1-2 days before the event date in order for the announcement to be effective.
  • The text to be announced is sent to bhim@hacettepe.edu.tr from the relevant unit via e-mail at the earliest seven days, at the latest two days in advance.
  • All announcements are published under the Personnel tab of the web page https://bhimduyurular.hacettepe.edu.tr/duyuru/tumu.
  • Announcements received by e-mail from the units and requested to be included in the Current Announcements or Announcements of the Rectorate under the Personnel tab of the web page are checked as content, edited and forwarded to the IT Department for publication by e-mail.

 

PHOTO-VIDEO SHOOTING ACTIVITIES

  • Photographing and, if necessary, video recording, by following the organizations of the Rectorate, are carried out by the relevant personnel, archived and shared with the Office of the Private Secretary.
  • During the visits to the Office of the Rector of our University, photographs are taken and archived upon the request of the Office of the Private Secretary.
  • Photo/video shooting services are planned for events held in our university campuses within the framework of time management, with priority being given to our university's Rectorate organizations and Rector's Office requests. After the written application made to the General Secretariat from the relevant academic/administrative unit, shooting support is planned within the framework of program eligibility.
  • In the promotion of our university, web pages, social media accounts, promotional catalogs, etc. Photo shooting, video shooting, drone shooting will be programmed and archived.

 

RADIO HACETTEPE

  • The music broadcasting of our university's internet radio Radio Hacettepe, the recording/editing/broadcasting of the program recordings, the management of social media accounts and the writing/editing/publishing of the contents on the website //radyo.hacettepe.edu.tr are under the management of the Press and Public Relations Directorate. carried out with voluntary student support.
  • All activities to be carried out are decided and implemented at weekly radio meetings, controlled and coordinated by the Press and Public Relations Directorate Radio Officer.

 

INFORMATION ACTIVITIES

  • Applications made through the Presidential Communication Center (CIMER) system are directed to our university by the Higher Education Institution. The application sent to the system of our university is accepted and sent to the relevant unit with the signature of the Assistant General Secretary via the Document Management System. The answers coming through the Document Management system are checked for compliance and uploaded to the CIMER system to be sent to the person and the Higher Education Institution, and the application is closed by being signed by the Press and Public Relations Directorate. Applications that do not have an appropriate answer and/or that concern a different unit are submitted to the General Secretariat for consideration, and guidance is made in line with the response.
  • Applications received through the e-mail address of bilgiedinme@hacettepe.edu.tr are forwarded to the relevant unit and the information of replying to the person via e-mail is added to the e-mail note.
  • Applications sent to rektorluk@hacettepe.edu.tr are forwarded to the relevant unit and the information about replying to the person via e-mail is added to the e-mail note.
  • All information gathering activities are carried out in accordance with KVKK.
  • Annual CIMER applications are reported and sent to the Presidency of the Higher Education Institution in an official letter.

 

PUBLIC RELATIONS ACTIVITIES

  • Planning and announcing the events hosted by the Rector's Office (academic year opening, graduation ceremonies, professorship certificate ceremony, etc.), designing posters/invitations/billboards/catalogues, making the seating arrangement in accordance with the State Protocol according to the participant status of the protocol service, presentation/server service , photo/video shooting, live broadcasting, etc. All processes of the organization are carried out with the approval of the General Secretariat and the Rector's Office.
  • The organization process is planned according to the appropriate calendar determined by the Office of the Private Secretary and is announced at the appropriate time via the web page, social media accounts and communication lists so that the participants can adjust their schedules.
  • Organizations are carried out by the staff of the Press and Public Relations Directorate and part-time students, Department of Health, Culture and Sports, Department of Administrative and Financial Affairs, etc. working with units.
  • University internal and external protocol lists are updated and recorded twice a year. Internal protocol lists consist of University Administration levels and contain up-to-date contact information. The external protocol lists consist of the contact information of the officials of the institutions, Diplomatic Representatives and our university's stakeholder institutions/organizations in the State Protocol. Internal and External Protocol Lists are kept for the purpose of sending invitations/e-invitations at the Rectorate's organizations.
  • External protocol lists are updated by following the news about the appointment of the directors of the institution reflected in the press.
